Temporary Project Coordinator - Member Data Management and Grant Program Support

About the Northeast Microelectronics Coalition (NEMC):

The NEMC, a division of the Massachusetts Technology Collaborative (MassTech), is a dynamic initiative bringing together industry leaders, academic institutions, and innovative startups. Our Hub’s mission is to foster collaboration and accelerate progress in domestic microelectronics. We are seeking a highly motivated and skilled individual to assist in the development of our NEMC Hub member portal, maintain backend member management, and support the implementation of grant management software for new grant programs.

About the Role:

We are seeking a dedicated and organized Temporary Project Coordinator to spearhead the creation of a member portal for our NEMC Hub members using an Association Management Software platform, while also assisting with the rollout and use of grant management software for departmental grant programs. This is a critical role in establishing a robust online community for our members and streamlining grant-related processes. The successful candidate will work closely with the NEMC team and its members to build the portal from the ground up, ensuring it meets the needs of our growing membership and facilitates effective engagement, and will collaborate on grant program workflows to enhance efficiency. This is a full-time, temporary position (40 hours per week) from June 15th to December 31st, 2025.

Responsibilities:

Member Portal Development (Primary Focus):

  • Lead the implementation and configuration of the member portal using a new Association Management Software platform.
  • Assist in the design and build the portal structure and features to effectively serve NEMC Hub members.
  • Collaborate with NEMC Hub management to define portal functionalities and user experience.
  • Develop and implement user guides and training materials for the member portal.
  • Troubleshoot and resolve any technical issues related to the member portal.

Backend Member Management:

  • Utilize Association Management Software and other tools to manage and track member activities.
  • Assist with the processing and management of new member inquiries.
  • Support the scheduling and coordination of member briefings and other member-focused events and requests.
  • Support the integration of member data with grant management software to ensure seamless tracking of grant-related member activities.
  • Maintain and update member data within the relevant systems.

Data Organization and Management:

  • Assist in the clean-up and organization of existing member data, utilizing tools like the new Association Management Software platform, Airtable, and Excel databases.
  • Support the development and implementation of efficient data management processes.

Communication and Collaboration:

  • Collaborate with the NEMC team to ensure the development and implementation of the member portal aligns with overall strategic goals.
  • Assist in the development and deployment of member communications through the portal and other channels.
  • Provide backend member administrative and organizational support to the NEMC management team as needed.

Grant Program Support:

  • Assist in the implementation and configuration of grant management software to support new grant programs within the division.
  • Track and manage grant program data, ensuring accuracy.
  • Troubleshoot and resolve technical issues related to the grant management software, working with the team to optimize its use.

About You:

You are a highly motivated and detail-oriented individual with experience in implementing and managing online platforms, preferably with a focus on member portals or community platforms, and an interest in supporting grant program administration. You possess strong organizational and project management skills and are comfortable working independently to achieve project goals. You are a quick learner with excellent communication skills and a proactive approach to problem-solving.

Requirements

Qualifications:

  • Proven experience in implementing or managing online platforms, with a preference for experience with online communication and collaboration platforms or similar.
  • Strong understanding of member portal functionalities and user experience best practices.
  • Excellent organizational and project management skills, with the ability to manage multiple tasks and deadlines effectively.
  • Experience with data management and organization.
  • Familiarity with grant management processes is a plus.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office 365 tools.
  • Familiarity with database management tools (e.g., Airtable) is a plus.
  • Ability to work independently and as part of a team.
  • Ability to travel to off-site events often not accessible by public transportation.

Compensation:

  • This is a temporary, non-exempt position with an hourly rate commensurate with experience.

Work Schedule:

  • Full-time, 40 hours per week, from June 15th to December 31st, 2025.

Work Location:

  • Hybrid - A combination of remote work and in-person at the MassTech/NEMC office in Westborough, Massachusetts.
